Cleaning Business Client Record Book | Printable + Tablet PDF
Keep every client's home, keys and cleaning notes in one tidy place. This cleaning business client record book comes as two PDFs: a printable A4 version for a ring binder, and a linked tablet version for GoodNotes, Notability, Xodo or Samsung Notes.
What's inside
Client pages (one set per client):
- Client and property: contact details, address, property type, bedrooms and bathrooms, pets, who is home, how often, day and time, hours, rate and payment, plus client consent
- Access and keys: how you get in, alarm (with a reminder to keep codes out of the book), rooms to stay out of, bin day, a numbered key record signed in and out, and a sample key holding agreement
- Room by room plan: every-visit and rotation tasks for each room, extras on request (oven, fridge, windows, ironing), products to use and surfaces to take care with
- Visit log: date, time in and out, hours, rotation and extras done, issues and breakages, price and paid, plus a breakages and issues record
Plus: a how-to-use page, a plain-English UK GDPR page on keeping client records safe, a client index and notes pages.
Two versions
- Printable PDF (10 A4 pages): print the client set as many times as you need. A wide left margin leaves room for hole punching. Printing on US Letter? Choose "Fit to page".
- Tablet PDF (242 pages): a contents page and A to Z tabs on every page. Each letter has a divider and room for two clients, and every page links back to contents.
Who it's for
Domestic cleaners, end of tenancy and office cleaners, and small cleaning companies who want proper records without paying for software.

Questions
Which apps does the tablet version work in?
Any PDF note app that keeps links, such as GoodNotes, Notability, Xodo or Samsung Notes. If a link does nothing, switch to read mode or tap with your finger instead of the pen.
Where do I write alarm and key safe codes?
Not in this book. Keep codes somewhere separate and secure, so a lost book never opens a client's home. Keys are tagged by number, not name or address.
Is the key holding wording legally checked?
No. It is plain sample wording to start from. Adapt it to your own terms and check it with your insurer before you use it.
Good to know
- These are blank forms and record sheets. They are not legal or insurance advice, and they do not replace your insurer's rules.
- The GDPR page is a friendly starting point, not legal advice. See ico.org.uk for the full guidance.
- Copied pages in a tablet app keep links to the original pages, so use the tabs to get around.
- For your own business use. Please do not resell or share the files.
